Transfer and Communication Center (CTAC) Coordinator (FT)
**Job Summary**


The CTaC Coordinator assumes accountability for telephone and/or radio call intake as well as facilitating appropriate bed placement and/or transportation needs. Communicates and collaborates with appropriate disciplines to facilitate efficient and timely assignments using defined policies and procedures to assure quality patient care and customer service. The CTaC Coordinator is also expected to support Carilion's hallmarks of service excellence and quality for all job responsibilities.


Duties include, but are not limited to the following:


1. **Transfer** **Center** **:** Collaborates with Transfer Center Nurse, Unit staff, various procedural departments, Physicians and Physician office staff to place patients in the most appropriate nursing units based on patient needs, age, diagnosis and established unit criteria. **Communications** **Center** **:** Prioritizes incoming calls according to unit availability and determines response mode as emergency or non-emergency. Appropriately confirms the level of care required and mode of transportation needed according to ALS protocols as well as CCPT policies and procedures.

2. Establishes, maintains, and promotes positive, customer service focused, and professional communication with all those served. Utilizes effective communication skills. Demonstrates excellent telephone etiquette and interpersonal skills. Receives and screens incoming calls via multi-line phone system. Routes calls to appropriate individuals and takes messages accurately.

3. Operates specialized software and computer systems that includes but not limited to Bedboard/Teletracking, WebXChange, EPIC, Right-CAD (or equivalent computer-aided dispatch system), Exchange e-mail, and Spark chat rooms. Performs all computer functions as required in a timely and accurate manner.

4. Participates in Performance Improvement activities and assigned project work as needed. Actively participates in all cost containment measures at the unit level. Promotes an aesthetic and safe work environment.

5. Problem solves and multitasks on a consistent basis in order to meet patient needs in a timely and efficient manner. Able to prioritize and shift from one function to another with short notice.

6. **Transfer** **Center** **:** Serves as primary contact to physicians or their representatives for notification of patient transfers and admissions. **Communications** **Center** **:** Dispatches calls and maintains communication with staff to assure effective utilization of services.

7. **Transfer** **Center** : Maintains an overall awareness of bed availability, total discharges, total admissions and patient flow in order to appropriately and effectively assign patients. **Communications** **Center** **:** Maintains general situational awareness of daily call volumes and vehicle assignments. Also maintains awareness of vehicle locations by GPS tracking software, CAD systems.

**Minimum Qualifications**


**Education:** High school graduate or equivalent.


**Experience:** Medical / clerical / unit / EMS experience in an acute care facility preferred. Typing and / or keyboarding proficiency required.


**Licensure/certification:** **Current VA State EMS certification (minimum EMT-B level) required.** AHA BLS-HCP certification required. NAACS certification required within 1 year of hire


**Other Minimum Qualifications:** Must demonstrate effective interpersonal, communication skills and strong team working skills. Must have the ability to function independently and demonstrate problem-solving skills. Must successfully complete orientation and maintain department specific competency validations for this position.
